Work orders and maintenance
Spaces & Facilities (Pro+) includes a full maintenance management system with work orders, preventive maintenance, and cost tracking.
Creating a work order
- Go to Spaces → Maintenance
- Click + New Work Order
- Fill in:
- Title and description
- Category (plumbing, electrical, HVAC, cleaning, other)
- Priority (low, medium, high, critical)
- Building and room
- Photos (optional)
- Save
Assigning work
Open any work order and assign it to a staff member or external contractor. The assignee receives an email notification.
Tracking costs
Log parts used, labour hours, and invoices against each work order. Totals roll up into building-level reports (Scale tier).
Preventive maintenance
Set up recurring PM schedules for routine tasks (quarterly HVAC check, annual fire extinguisher inspection, etc.). Work orders are auto-generated at the scheduled interval.
Reporting issues from a room
Anyone with room access can report an issue directly from the room detail page → Maintenance tab → Report Issue. The work order is auto-created with room context.
Condition reports
Before and after each booking, users can upload condition report photos. This links any damage directly to the responsible booking for accountability.
